Event Planner/Coordinator

JOB DESCRIPTION
The Event Planner and Coordinator will be responsible for organizing and managing all aspects of events, from initial planning to final execution. This role requires excellent organizational skills, attention to detail, and the ability to work under pressure. The ideal candidate will have experience in event planning, excellent communication skills, and a passion for creating exceptional event experiences.
RESPONSIBILITIES
Event Planning:
Communicate with venues on upcoming event needs, contracts, etc
Create detailed event plans, timelines, and budgets.
Coordinate all logistical aspects of events, including hiring event staff, catering, transportation, and accommodation
Execute city permits and fire plans with local officials
Event Marketing:
Update digital assets to reflect event details, including ticketing software, website, etc
Share responsibilities of keeping fanbase up to date on social media about upcoming events
On-site Event Management/Coordination:
Supervise event setup, execution, and breakdown. Travel to 10 events a year.
Coordinate event staff and volunteers, providing clear instructions and support.
Facilitate vendor check-in
Troubleshoot any issues that arise during the event to ensure a seamless experience for vendors and attendees.
Post-Event Activities:
Conduct post-event evaluations to gather feedback and identify areas for improvement.
Prepare detailed event reports, including budget analysis and attendee feedback.
Follow up with clients and stakeholders to ensure satisfaction and discuss future event opportunities.
